Once the backbone of internal communication, intranet now feels overshadowed by tools like MS Teams, ticketing systems, and mobile news apps.<br>But the truth is \u2014 intranet isn\u2019t dead. It has evolved. From a news hub to a collaboration space. From a static portal to an integral part of the digital workplace. So the real question isn\u2019t <em>whether<\/em> you still need an intranet, but <em>what role<\/em> it should play in your internal channel mix.<br>In this article, I\u2019ll explore how intranet has transformed, what functions still matter, and how to keep it alive, relevant, and useful for your employees.<br><\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p><em><strong>TL;DR<\/strong> <strong>In short<\/strong><br>Intranet has changed \u2014 and that\u2019s a good thing.<br>It has evolved from a corporate news portal into a collaboration platform. Many classic intranet functions (like news, teamwork, and service requests) have shifted to tools such as Teams, Viva Engage, and service ticket systems. Successful organizations now define a clear role for intranet within their channel strategy. A modern intranet focuses on top tasks, strong search, engaging content, and seamless integration with other systems.<\/em><\/p>\n<\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>From News Site to Collaboration Platform<\/strong><\/h2>\n\n\n\n<p>In the 8th edition of my book <em>Internal Communication<\/em> (2023), I describe <strong>four generations of intranets<\/strong>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The news site (since 1996)<\/li>\n\n\n\n<li>The employee portal (since 2000)<\/li>\n\n\n\n<li>The social intranet (since 2010)<\/li>\n\n\n\n<li>The collaboration platform (since 2020)<\/li>\n<\/ul>\n\n\n\n<p>Each generation serves different goals \u2014 so not all intranets are created equal. Depending on your organization\u2019s needs, you may be operating at one generation or already blending multiple.<br>And user behavior tells the same story: employees mostly visit intranet for <strong>top tasks<\/strong> \u2014 the essential, high-traffic items that make work easier. A major study among nearly 50,000 users revealed what those top tasks often are.<br><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What People Actually Use Intranet For<\/strong><\/h2>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>About Me<\/strong><\/h3>\n\n\n\n<p>Employees want quick access to HR essentials: vacation days, expense claims, or training opportunities. The \u201cportal\u201d function \u2014 a fast route to the systems they use every day \u2014 remains vital.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Finding and Connecting with Colleagues<\/strong><\/h3>\n\n\n\n<p>The classic \u201cwho\u2019s who\u201d directory is still going strong \u2014 but now people want to search by <em>expertise<\/em>, not just name.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Collaboration Tools<\/strong><\/h3>\n\n\n\n<p>Once you\u2019ve found the right colleague, you want to collaborate easily. Linking to shared drives or project spaces (like Teams or SharePoint) is key \u2014 especially in hybrid workplaces.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Organization News<\/strong><\/h3>\n\n\n\n<p>Corporate news comes lower on the list than many leaders expect. While executives often hope intranet is their flagship news channel, employees mainly visit it to <em>understand context<\/em> \u2014 strategy, direction, key figures, and performance.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Professional Content<\/strong><\/h3>\n\n\n\n<p>Instructional or thought-leadership content \u2014 blogs, vlogs, podcasts \u2014 adds value when it connects to people\u2019s daily work. Other frequently visited areas include: phone directories, travel booking, onboarding, and policy discussions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>New Channels, New Dynamics<\/strong><\/h2>\n\n\n\n<p>Many of these traditional intranet functions have shifted to other platforms:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>MS Teams<\/strong><\/h3>\n\n\n\n<p>No longer just for online meetings, Teams now supports knowledge sharing and project collaboration \u2014 often replacing intranet for day-to-day work.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Public Website<\/strong><\/h3>\n\n\n\n<p>Some organizations now publish key updates directly on their external site \u2014 adopting a \u201cinside = outside\u201d approach that saves time and eliminates overlap between internal and external news.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>News Apps<\/strong><\/h3>\n\n\n\n<p>Dedicated internal news apps keep colleagues informed in real time, especially field or frontline workers.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Social Platforms Instead of News<\/strong><\/h3>\n\n\n\n<p>Networks like <strong>Viva Engage<\/strong> are replacing traditional editorial intranets. Instead of a newsroom, every employee can share updates, tag topics, and reach the audiences that matter. Companies like Heijmans use this approach to great effect.<br><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Ticketing Systems<\/strong><\/h2>\n\n\n\n<p>Departments such as IT, HR, and Facilities increasingly rely on tools like <strong>ServiceNow<\/strong> or <strong>TOPdesk<\/strong> to manage internal service requests.<br>And that\u2019s not even counting <strong>AI assistants<\/strong> like Copilot, which are beginning to generate content and guide employees to the right answers.<br><br><strong>So, Is Intranet Dead? Not Quite \u2014 But It\u2019s Changing Fast<\/strong><br>Intranet isn\u2019t dead \u2014 it\u2019s <em>transforming<\/em>.<br>To stay relevant, you must define its <em>role<\/em> within your organization\u2019s broader communication and collaboration ecosystem. Here are a few key considerations for keeping your intranet alive and thriving:<\/p>\n\n\n\n<p><br><strong>1. Define a Channel Strategy<\/strong><br>If your organization uses multiple systems, be clear about when and why employees should use intranet versus other tools. Develop a communication canvas that includes a shared vision \u2014 one that goes beyond just the role of intranet.<br><strong>2. Choose a \u201cFront Door\u201d<\/strong><br>Traditionally, intranet was the main entry point to all digital tools. Now, MS Teams can also play that role. Decide which \u201cdoor\u201d fits your structure \u2014 or whether multiple doors make sense.<br><strong>3. Build a Shared Newsroom with Local Flavor<\/strong><br>A modern content strategy combines consistent core messages with local adaptation. Tools like <strong>headless CMS systems<\/strong> (e.g., Contentstack or Sitecore) let you manage content centrally while tailoring it for each channel \u2014 intranet, website, or social media.<br><strong>4. Link from Newsletters<\/strong><br>If your organization uses internal newsletters, link back to deeper stories or resources on the intranet to drive traffic and engagement.<br><strong>5. Involve Leadership<\/strong><br>Leaders are key ambassadors. Make sure they understand and model intranet use \u2014 and that they\u2019re aligned with your communication principles. Train them to use intranet tools effectively.<br><strong>6. Understand User Needs<\/strong><br>Before redesigning, research what employees <em>really<\/em> want. Map their workflows, develop personas, and involve them early in the process.<br><strong>7. Prioritize Functionality<\/strong><br>Design matters, but usability matters more. If employees can\u2019t find what they need quickly, they\u2019ll stop using the platform. Keep navigation logical and intuitive.<br><strong>8. Keep Content Fresh<\/strong><br>Regular updates, useful resources, and a lively homepage are essential. Make it the place where people want to come back.<br><strong>9. Encourage Interaction<\/strong><br>If your intranet includes a social layer, stimulate discussion with forums, blogs, and project spaces. Conversation is what keeps an intranet alive.<br><strong>10. Go Mobile<\/strong><br>Your intranet must work seamlessly on smartphones. Flexibility is no longer optional \u2014 it\u2019s expected.<br><strong>11. Keep Improving<\/strong><br>An intranet is never \u201cfinished.\u201d Measure usage, ask for feedback, and refine continuously.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Reality Check<\/strong><\/h2>\n\n\n\n<p>When head offices dream big, they often talk about \u201cintegration,\u201d \u201cknowledge sharing,\u201d and \u201ccreating one community.\u201d But most employees just want one thing: <strong>to get their work done efficiently.<\/strong> Keep that in mind \u2014 simplicity and relevance always win.<br><br><strong>Final Thought<\/strong><br>The traditional intranet may no longer be the shining center of internal communication it once was, but it\u2019s far from obsolete. It\u2019s evolving into something richer, more interactive, and deeply connected to how we actually work.<br>So no \u2014 intranet isn\u2019t dead.
